End Assignment or Employment (TRM & TRM-TEMP) PAF

Description

Use an End Assignment or Employment (TRM & TRM-TEMP) PAF when an employee's assignment should be ended/terminated. However, use the TRM-TEMP PAF Tool when a temporary Faculty, Graduate Assistant or External User has completed their semester work and will not be employed for the organization the next semester.

The department should create the PAF as soon as a possible. If the employee is participating in the Phased Retirement Program the HRS Benefits team (hrs-benefits@uni.edu or 319-273-2954) will submit the PAF.

GUIDELINES

When to Create a TRM PAF

Initiate a TRM PAF when:

  1. A non-temporary employee is leaving the university or an assignment is ending.
  2. A temporary Academic Administrator, Merit or P&S is leaving the university or an assignment is ending.

    For Merit Temporary employees, the Effective Date of the PAF should be the current date (i.e., the day the PAF was created). If there is a future-dated PAF for this Merit Temporary employee, please contact merit-employment@uni.edu for guidance. Research the employee's actual last day worked and add this date to the Last Day Worked field.

  3. A temporary Faculty, Graduate Assistant, or External is leaving or ending their assignment prior to their Appointment Expiration Date.

When to Use the TRM-TEMP Tool

Use the TRM-TEMP PAF Tool when a temporary Faculty, Graduate Assistant or External User has completed their semester work and will not be employed for the organization the next semester. Email Reminders: An automatic email will be sent to the organization PAF Preparers every second and fourth Monday of the month until a TRM PAF is processed or a CHG PAF has been processed to extend their Appointment Expiration Date. Special Notes

  1. The PAF Preparer should submit a PAF as soon as they become aware of the change.
  2. If non-temporary Faculty, ideally the Effective Date is 01-JUN-XXXX or 31-DEC-XXXX. The Last Day Worked should be three (3) business days after the end of each semester.
  3. The university is now ending email access and Google Apps access (i.e., deprovisioning email accounts) for terminated employees. Do not change the default setting unless the department is reducing the time and/or the supervisor has a valid business need to increase the time. To learn more, visit End Email Access.
  4. Majority of campus systems are now using e-Business data. Therefore, the employee's access to most systems will end the day after their termination date.
  5. If the employee is participating in the Phased Retirement Program the HRS Benefits team (hrs-benefits@uni.edu or 319-273-2954) will submit the PAF.
